MANAGEMENT SYSTEM POLICY FOR SAFETY, QUALITY AND HEALTH AT WORK


For New Trading International SAS the most important thing is the satisfaction of our customers; Therefore, we maintain mutually beneficial relationships with interested parties, guaranteeing compliance with legal requirements, the effectiveness and improvement of the quality management system and SGSST, achieving the positioning of the company, the profitability of the partners, the protection of the life and health in the work environment of our direct employees; contractors, visitors and interested parties, taking the necessary measures to guarantee adequate management for: a) the identification, evaluation, control and elimination of the risks present in the company's activities b) Promotion of the culture of self-care so that occupational health and safety are a responsibility by conviction c) Execution and Monitoring of the regulations on the matter in force d) Allocation of financial, human and physical resources. All of the above within the framework of continuous improvement.
NEW TRADING SAS, in the development of its own management activities, has defined the following policy for our Occupational Health and Safety Management System SGSST
Objective: Protection of life and health in the work environment
Scope: Direct employees; contractors, visitors and stakeholders
Commitment: Senior management guarantees adequate management for: a) the identification, evaluation, control and elimination of the risks present in the company's activities b) Promotion of the culture of self-care so that occupational health and safety are a responsibility by conviction c) Execution and monitoring of the regulations on the matter in force d) Allocation of financial, human and physical resources.
All of the above within the framework of continuous improvement.

2. PURPOSES AND TREATMENT TO WHICH THE PERSONAL DATA WILL BE SUBMITTED

3. RIGHTS OF THE HOLDERS

4. SENSITIVE DATA

The Holder has the right to choose not to supply any sensitive information requested by NEW TRADING INTERNATIONAL SAS, related, among others, to data on their racial or ethnic origin, membership in unions, social or human rights organizations, political or religious beliefs, of sex life, biometrics or health data.

5. DATA OF MINORS

The provision of the personal data of minors is optional and must be done with the authorization of the parents or legal representatives of the minor.


6. AUTHORIZATION OF THE HOLDER

Without prejudice to the exceptions provided by law, the Treatment requires the prior, express and informed authorization of the Holder, which must be obtained by any means that may be subject to subsequent consultation and verification.

7. CASES IN WHICH AUTHORIZATION IS NOT REQUIRED

The authorization of the Holder will not be necessary in the case of:

7.1. Information required by NEW TRADING INTERNATIONAL S.A.S in the exercise of its legal functions or by court order.
7.2. Data of a public nature.
7.3. Cases of medical or health emergency.
7.4. Treatment of information authorized by law for historical, statistical or scientific purposes.
7.5. Data related to the Civil Registry of Persons.

8. ATTENTION OF REQUESTS, CONSULTATIONS AND CLAIMS

To make requests, queries or claims in order to exercise the rights to know, update, rectify, delete the data or revoke the authorization granted, the Owner or his successors in title can use any of the following communication channels:

Person or area responsible for handling requests, inquiries and claims:

The requests, queries or claims that are received through the different channels will be directed to the respective area of NEW TRADING INTERNATIONAL S.A.S responsible for the treatment.

 

9. PROCEDURE TO EXERCISE THE RIGHTS

9.1. Queries
They will be acquitted within a maximum term of ten (10) business days from the date of receipt. When it is not possible to answer the query within said term, the interested party will be informed before the expiration of 10 days, stating the reasons for the delay and indicating the date on which their request will be attended, which in no case may exceed five (5) business days following the expiration of the first term.
9.2. Claims
The Holders or their successors in title who consider that the information contained in a database of this Organization should be subject to correction, update or deletion, or who notice the alleged breach of any of the duties contained in Law 1581 of 2012, may submit a claim before NEW TRADING INTERNATIONAL SAS, through any of the communication channels described above; and it must contain the following information:

9.2.1. Name and identification of the Holder
9.2.2. The precise and complete description of the facts that give rise to the claim
9.2.3. The physical or electronic address to send the response and report on the status of the process
9.2.4. The documents and other evidence that is intended to be enforced.

In the event that NEW TRADING INTERNATIONAL S.A.S is not competent to resolve the claim filed before it, it will notify the corresponding person within a maximum term of two (2) business days and inform the interested party of the situation.
Si el reclamo resulta incompleto, NEW TRADING INTERNATIONAL S.A.S requerirá al interesado dentro de los cinco (5) días siguientes a su recepción para que subsane las fallas. Transcurridos dos (2) meses desde la fecha del requerimiento, sin que el peticionario presente la información solicitada, se entenderá que ha desistido de aquél.

Once the complete claim has been received, NEW TRADING INTERNATIONAL S.A.S will include in the respective database a legend that says “claim in process” and the reason for it, within a term not exceeding two (2) business days. Said legend will remain until the claim is decided.
The maximum term to attend the claim will be fifteen (15) business days from the day following the date of receipt, and if it is not possible to respond within said term, NEW TRADING INTERNATIONAL SAS will inform the interested party of the reasons for the delay. and the date on which it will be attended, without exceeding, in any case, the eight (8) business days following the expiration of the first term.

10. DATE OF ENTRY INTO EFFECT OF THE INFORMATION PROCESSING POLICY AND EFFECTIVE PERIOD OF THE DATABASES OF NEW TRADING INTERNATIONAL S.A.S

This policy governs from its issuance and the databases subject to Treatment will remain in force as long as it is necessary for the purposes established in point 2 of the same.
